Summary:
This role is crucial for overseeing Fleet Operations within Smart Building. Responsibilities include maintaining up-to-date driver and vehicle information, managing registrations, insurance, and fuel.
PRIMARY RESPONSIBILITIES
- Data Analysis: Collect, analyze, and interpret fleet data to monitor vehicle utilization, efficiency, maintenance costs, fuel consumption, and downtime.
- Cost Management: Monitor and manage fuel consumption and maintenance costs, performing cost analysis to suggest cost-saving strategies.
- Vehicle Acquisition and Disposal: Coordinate the acquisition and disposal of vehicles, ensuring the best value for the company.
- Annual Capital Planning: Generate proactive reports for vehicle replacement and build a tentative capital plan for budgeting based on vehicle type and data.
- Fleet Driver Mobile App Utilization: Promote the use of the Enterprise mobile app for maintenance cards and insurance policies, ensuring ease of use and protection.
- Fleet Driver Safety: Communicate open recalls to fleet drivers and establish an escalation process for unaddressed repairs.
- Asset Protection: Ensure drivers utilize the maintenance program to maximize vehicle longevity and performance and establish an escalation path for non-responsive drivers.
- Maintain Driver Information: Update fleet driver information, train new field techs, manage fuel card PINs, and handle vehicle reassignments.
- Track Vehicle Registrations: Coordinate annual vehicle registration renewals, state inspections, and manage registration changes due to employee moves.
- Reporting and Billing: Provide monthly fleet data reports, manage insurance renewals, support the creation of purchase orders, and handle billing and invoicing for fleet-related expenses.
- Heavy Outbound Phone Contact: Proactively engage with fleet drivers and vendors to promote the use of services provided by RealPage, ensuring behavior changes and optimal service utilization.
QUALIFICATIONS
- College Degree preferred.
- 3+ years of experience in transportation, finance, business administration or related field.
REQUIRED KNOWLEDGE/SKILLS/ABILITIES
- Ability to manage multiple tasks simultaneously and maintain detailed records.
- Strong analytical skills to monitor fleet performance and optimize operations.
- Excellent communication skills to effectively liaise with drivers, management, and external vendors.
- Ability to quickly address and resolve issues that arise in fleet operations.
- Familiarity with fleet management software, GPS tracking systems, and other relevant technologies.
- Strong interpersonal skills to build relationships and work effectively with a diverse team.
- High attention to detail to ensure accuracy in reporting and compliance with regulations.
