JFC's Operations Assistant is responsible for the following:


Visitor and Communication Management

  • Welcome visitors, address inquiries, and direct them to relevant units.
  • Manage phone calls for Area/Regional Managers.
  • Coordinate meetings and maintain daily itineraries.


Document Management

  • Establish and maintain filing systems for documents.
  • Track incoming and outgoing official documents.
  • Route memos and documents to appropriate recipients.


Reporting and Administrative Support

  • Draft and compose memos for managers.
  • Type and consolidate reports (monthly, quarterly, etc.).
  • Ensure office cleanliness and orderliness.
  • Schedule and maintain meeting rooms.
  • Prepare snacks for meetings.


Financial and HR Support

  • Monitor cash advances, liquidations, and reimbursements.
  • Handle phone billings and hotel/airline bookings.
  • Coordinate Management Trainee orientation schedules.
  • Prepare contracts and coordinate performance appraisals.



JOB QUALIFICATIONS:

  • Must be a graduate of secretarial or any business-related course with knowledge of typing and filing; proficient in word processors/computer applications.
  • At least 2 years of experience performing similar function/position.
  • Willing to be assigned in Ortigas, Pasig (Hybrid working set-up)
