JOB OBJECTIVE:
• Fulfill the requirements of the Food Safety Management System
• The Total Quality Management (TQM) Commercial shall design and develop quality programs and lead its execution from the point of manufacture to consumer/ customer management
• Nutri-Asia, Inc, Head office Document Control Administrator is responsible for administration of systems on Document Control and Records Management in Head Office. The DCA shall ensure that document and records control requirements of applicable standards including Food Safety Management System and other customer requirements are complied.
DUTIES AND RESPONSIBILITIES:
Communication
1. Communicate matters related to food safety, such as but not limited to regulatory requirements, preventive actions, non-conformances, corrective actions and recalls
2. Cascades existing and new formulated policies related to Document Control, Records Management and Commercial Quality
Accountabilities
A. Perform Document Control Administrator (DCA) function in Head Office
3. Ensures that controls are in place to ensure that all proposed changes in the document are reviewed prior to implementation to determine their effects on food safety and their impact in food safety management system
4. Ensures that system is established in the NAI Head office to define the controls needed:
4.1 to approve documents for adequacy prior to issue
4.2 to ensure that changes and the current revision status of documents are identified
4.3 to ensure that relevant versions of applicable documents are available at points of use
4.4 to ensure that documents remain legible and readily identifiable
4.5 to ensure that relevant documents of external origin are identified and their distribution controlled
4.6 to prevent the unintended use of obsolete documents, and to ensure that they are suitably identified as such if they are retained for any purpose
B. Development of programs of Commercial Quality
5. Design and Develop quality programs in Finished Goods Distribution
6. Develop and improve standards on warehousing, product handling and merchandising
7. Disseminate and reinforce, GWTP and other quality mindset related items to dealers/salesmen
8. Perform audit to distributors on GWTP and quality mindset
9. Track dealer GWTP audit results
10. Assist in the collaboration with Promo Merchandising Operations on quality developments on merchandising
C. Co-lead in the attainment of consumer satisfaction and consumer complaint management
11. Document action points from consumer hotline
12. Perform assessment of inquiry/ reports from consumer hotline
13. Ensure monitoring of delivery of action points of responsible personnel for each inquiry report
FUNCTIONAL KNOWLEDGE/ SKILL REQUIREMENTS:
▪ College/ University graduate from a technical course in Food Technology, Pure Sciences, and Engineering
▪ Has 1-year experience in auditing management systems
• Has 2-year experience in industry with established system on document control
• Training programs relative to the following areas: Total Quality Management, Current Good Manufacturing Practices, Hazard Analysis, Critical Control Point, and Food Safety Management System; Audit course on Management Systems
• Planning: defining goals and objectives for quality programs & identifying resources to achieve goals and objectives
• Leading: functions as lead in project teams, ensuring responsibilities are specified within the team, and creating good working conditions while attracting team members and stakeholders in the project
• Organizing: collaborating with other functions, reviewing and analyzing data for process improvements and problem solving, and handling multiple objectives and prioritizing critical tasks needed by the organization
• Controlling: use of Seven QC Tools such as Histograms, Cause and Effect Diagram, Check Sheets, Pareto Diagrams, Graphs, Control Charts, Scatter Diagrams; monitoring of project’s progress, provision of feedback and information about progress, and auditing skills
