JOB OBJECTIVE:

Responsible for assisting in the purchasing functions, ensures development & implementation of purchasing programs, which result in economical use of company funds while meeting specific needs for goods and services. Also, responsible for effective and efficient canvassing, negotiating and procurement of trade and or non-trade item/s considering factors such as quality, service, credit terms, and price offered by vendors.


Work Setup and Schedule: Office Based/ 9am- 6pm Monday to Friday


DUTIES AND RESPONSIBILITIES:

DAILY:

  • Determines (quality and service), negotiate (pricing, delivery lead time, and credit terms), and secures from reliable vendors. Encodes forwarded pre-quote and its related acquisition pricing.
  • Encodes and updates pre-quote status report on database.
  • Coordinates with suppliers on demo units, service units, site survey, and submits related documents for checking / approval.
  • Coordinates with suppliers for claims of defective goods and back-job.
  • Coordinates with Warehouse Section, items for packing and shipment.
  • Assigns reference number to Purchase Requisition (PR) forms submitted by concerned employees.
  • Encodes and updates status of all submitted / approved PR on purchasing status report.
  • Canvass all assigned PR.
  • Prepares Purchase Quotation (PQ) for approval of supervisor / head.
  • Prepares Purchase Order (PO) from approved / Purchase Quotation (PQ).
  • Sends approved PO’s to suppliers for the confirmation.
  • Segregates, scans and files POs.
  • Coordinates with suppliers expected delivery lead time.
  • Receives correct invoices, billing statement, receipt (CR, AR, OR).
  • Facilitates proper importation and exportation of goods through forwarders, courier, and brokers.
  • Ensures cleanliness and orderliness of the workplace while helping in the maintenance and observance of maximum security set by the company.
  • PERIODIC (Monthly, Quarterly, Yearly)
  • Updates pre-quote status, purchasing status, freight cost report, local and foreign warranty reports local and foreign directory, inventory reports for local suppliers and foreign PO inventory reports.


Requirements

 

Education: Bachelor’s Degree in any Business Course, Administration or Management and with technical knowledge.

Experience: One to two years related experience and/or training; or equivalent combination of education and experience.

Competencies, Knowledge, Skills and Attributes:

Language skills: Level 2: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

Mathematical skills: Level 3: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning ability: Level 4: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
